As an Executive Assistant Intern, you will support our teams in the daily management of administrative, organizational, and coordination activities. You will play an active role in ensuring the smooth preparation of meetings, events, communications, and travel-related processes, while also contributing to the improvement of internal tools and databases.
This role is ideal for a student or young graduate who is eager to learn, highly organized, and interested in developing practical experience in executive support within a professional and dynamic environment.
During your internship, you will gradually take ownership of the following responsibilities:
- Organize and coordinate meetings from A to Z: room bookings, agenda preparation, Outlook invitations, attendance monitoring, and participant follow-up.
- Support the preparation of internal events by updating supplier databases, preparing badges, participant lists, and support materials.
- Research alternative venues and suppliers when needed.
- Draft professional communications and email templates for various internal purposes, such as reminders, important announcements, weekly follow-ups, holiday coverage, and expense note tracking.
- Assist with business travel administration by updating traveler profiles, checking key documents and expiration dates, and setting up reminder alerts.
- Contribute to the continuous improvement of the AGC Secretary project by identifying ideas for enhancement, testing improvements, and documenting updates.
- Manage assigned meetings with increasing autonomy, including anticipating scheduling conflicts and handling last-minute changes.
- Support document management and SharePoint maintenance by reviewing incomplete folders, checking outdated access rights, and preparing cleanup actions after validation.
- Ensure accurate and reliable updates of internal databases, including supplier, traveler, and contact information.
- Take part in the preparation and coordination of administrative support activities during busy periods or holiday replacements.
- At the end of the internship, prepare a summary report highlighting key learnings, challenges, and improvement suggestions.

- Highly organized, rigorous, and detail-oriented.
- Comfortable managing several tasks at the same time and setting priorities.
- A strong communicator with good writing skills in English; French is a plus.
- Proficient in Microsoft Office tools, especially Outlook, Excel, Teams, and SharePoint.
- Eager to learn, proactive, and able to grow progressively in autonomy.
- Professional, reliable, and able to handle confidential information with discretion.
- Solution-oriented, with a genuine interest in improving processes and tools.
- A team player who is not afraid to ask questions and contribute ideas.
